Privacy Policy

Who We Are and How This Policy Works

AirPulse is a B2B SaaS platform that helps businesses assess their visibility in AI search engines such as ChatGPT, Perplexity, Google AI Overviews, and similar services. We analyze search queries, monitor mentions, and provide insights on how content performs across AI-powered answer engines.

This Privacy Policy explains how we collect, use, share, and protect your personal information. It applies to anyone who uses AirPulse, whether you visit our website, sign up for a trial, subscribe to our service, or contact us for support.

This policy works alongside our Master Subscription Agreement (MSA) and Data Processing Agreement (DPA). If you're a customer, the MSA and DPA define which data belongs to you (Customer Data) and how we handle it. This Privacy Policy covers all your personal information, including both the data we process on your behalf and the data we collect about you directly.

If you have questions about how we handle your data, please contact us at [email protected].

What This Policy Covers

This Privacy Policy applies to:

• Your visits to the AirPulse website and marketing pages
• Your use of the AirPulse application, whether you're on a trial or paid plan
• Emails, calls, and support conversations with our team
• Your participation in webinars, events, or other AirPulse activities
• Any other interactions with AirPulse services and tools

This policy does not cover third-party websites, apps, or services that may link to or integrate with AirPulse. We recommend reviewing their privacy policies separately.

How We Use Your Data: Our Roles

AirPulse operates in two different ways, and it's essential to understand which one applies:

When We Act as a Business

For our own website, marketing, analytics, and business operations, AirPulse is a "business" or "controller" of your personal data. This means we decide how and why we collect and use your information.

When We Act as a Service Provider

When you use AirPulse as a customer, you may upload or provide information (such as URLs, content, or search data) for our analysis. In this case, we act as a "service provider" or "processor" of your Customer Data. You tell us what to do with this data, and we do it on your behalf, as described in your MSA and DPA.

The distinction matters because different rules apply depending on which role we're in. This policy explains both.

What Information We Collect

Information You Provide Directly

When you sign up, create an account, or contact us, we collect:

• Your name, email address, and job title
• Your company name and industry
• Your phone number (optional)
• Your password and authentication information
• Your billing and payment information (via third-party payment processors; we do not store full credit card details)
• Information you include in support requests, feedback, or communications with us
• Marketing preferences and communication choices
• Any content, files, or data you upload to analyze within the AirPulse platform

Information We Collect Automatically

When you use AirPulse or visit our website, we automatically collect:

• Log data: login times, features you use, actions you take, how long you spend on the platform
• Technical information: your IP address, browser type, device type, operating system, and device identifiers
• Location data: approximate geographic location based on IP address (not precise)
• Telemetry data: information about how you interact with AirPulse, product performance metrics, error logs, and crash reports
• Cookies and similar technologies (explained below)
• Referral information: how you found AirPulse (e.g., from a search engine or advertisement)

Information From Third Parties

We may receive information about you from:

• Business partners or integration platforms you connect to AirPulse
• Public sources (e.g., your company's website or public directories)
• Service providers who help us with marketing, analytics, or customer support
• Advertising platforms that help us reach potential customers

Cookies and Similar Technologies

Cookies are small text files that websites and apps place on your device. They help us recognize you when you return and remember your preferences.

What Cookies Do We Use?

• Essential cookies: Required for the service to function properly
• Analytics cookies: Help us understand how you use AirPulse

You can manage cookies in several ways:

• Adjust your browser settings to accept fewer cookies or block them entirely
• Use our preference center (available in your account settings and on our website) to control marketing cookies
• Clear cookies from your device at any time (note: this may log you out)

Some cookies are necessary for the service to work, so disabling all cookies may prevent you from using AirPulse.

Similar Technologies

We also use pixels, web beacons, and tracking tags for analytics and advertising. These work similarly to cookies. The same controls generally apply.

How We Use Data With AI and Analytics

AirPulse's core function is to analyze data across AI search engines. Here's how we do this responsibly:

How We Analyze Your Data

When you upload content or URLs into AirPulse, we:

• Run them through AI search engines to see how often they're mentioned
• Analyze patterns and generate performance metrics specific to your account
• Create visibility scores and competitive benchmarks
• Produce reports and dashboards for you to view

This data is processed only to deliver the insights you're paying for.

Customer Data and Model Training

By default, AirPulse does not use your Customer Data to train any AI models, neither our own nor general large language models. Your data is used only to serve your account.

If in the future we offer optional features that involve training on your data (such as custom AI models), we will:

• Ask for your explicit, informed consent before doing so
• Clearly explain what will happen to your data
• Allow you to opt in or opt out without losing core service features
• Provide this information in plain language, not just legal terms

Third-Party Analytics and AI Services

To deliver AirPulse, we use vendors who help with analytics, AI processing, and data analysis. These vendors:

• See only pseudonymous or aggregated data, or data necessary to deliver services
• Are contractually bound to protect your information
• Are not allowed to use your data for their own purposes
• May be based in different countries (see International Data Transfers below)

You can request details about which vendors we use and what safeguards we have in place.

When We Share Information

Vendors and Service Providers

We work with trusted vendors to help us deliver AirPulse:

• Cloud hosting and infrastructure providers
• Payment processors (for billing and subscriptions)
• Email and customer support platforms
• Analytics and data analysis providers
• Security and fraud prevention services
• AI and machine learning vendors
• Product analytics platforms
• CRM and marketing platforms

These vendors process data only on our behalf and according to our instructions.

Integration Partners

If you connect AirPulse to other platforms or tools (such as Slack, Zapier, or your CRM), data may be shared with those platforms according to their terms and your permissions.

Advertising and Analytics Partners

On our website, we may use advertising partners (like Google Ads) to help reach potential customers. These partners may set cookies to understand how our ads perform. You can opt out through your browser settings or their preference centers.

Professional Advisers

We may share information with lawyers, accountants, and other professional advisers to help us comply with laws and manage our business.

Corporate Transactions

If AirPulse is involved in a merger, acquisition, bankruptcy, or other corporate change, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have.

Legal Requirements and Safety

We may disclose your information if required by law, court order, or government request, or if we believe in good faith that disclosure is necessary to:

• Comply with applicable laws or regulations
• Enforce our Master Subscription Agreement or other agreements
• Protect the security or integrity of AirPulse
• Protect the rights, privacy, safety, or property of AirPulse, our users, or the public
• Prevent or investigate possible wrongdoing

Aggregated and Anonymized Data

We may share or publish aggregated or fully anonymized information that cannot identify you (e.g., industry trends, average performance metrics). This is permitted without restriction.

International Data Transfers

AirPulse operates globally, and your data may be stored, processed, or backed up in different countries, including outside your home country. These countries may have different data protection laws than your own.

When we transfer data internationally, we:

• Use contractual safeguards (Standard Contractual Clauses or similar mechanisms)
• Work with providers that offer equivalent data protection
• Ensure appropriate legal agreements are in place
• Comply with applicable data protection regulations like GDPR and data localization laws

If you have concerns about international transfers, please contact us. Depending on your location, you may have the right to know more details about these transfers.

Right to Restrict Processing

In specific circumstances, you can ask us to limit how we use your data while you're working on a dispute.

If you live in a region with specific privacy laws (like GDPR, CCPA, or DPDPA), we will honor the rights those laws provide.

Right to Lodge a Complaint

If you believe we've mishandled your data, you can file a complaint with your local data protection authority or regulator. Contact details are usually available on their websites.

• Security alerts or account compromises
• Billing issues or payment failures
• Major service changes or outages
• Legal or compliance notices

Security

We take the security of your information seriously. We use a range of safeguards to protect data from unauthorized access, alteration, or loss:

• Encryption: Data is encrypted during transmission (HTTPS/TLS) and at rest
• Access controls: Only authorized employees with a legitimate business need can access your data
• Firewalls and intrusion detection: We monitor for and prevent unauthorized access
• Regular security audits and testing: We periodically review and test our security
• Employee training: Our team is trained on data protection and security best practices
• Third-party vendors: We require vendors to meet equivalent security standards

No System Is Perfect

While we implement these protections, no security system is completely foolproof. We cannot guarantee absolute security. If a breach occurs, we will notify affected users as required by law.

Children's Privacy

AirPulse is not intended for children under the age of 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect personal information from children.

If we become aware that we have collected information from a child without appropriate parental consent, we will delete that information promptly and may terminate the child's account.

If you believe we have collected information from a minor, please contact us at [email protected].
